Full disclosure: we build custom software for businesses in Kerala and the GCC, and our team built Xale CRM and the ERP that runs ReelsBuddy, both described later in this guide. Our own starting prices are on our pricing page: a small internal tool from ₹2 lakh, a web app or portal from ₹4 lakh, a focused lead CRM from ₹2 lakh and an ERP's first module from ₹4 lakh, each as one fee, before GST. A CRM or ERP can also be taken as a subscription on one of Xale's own plans, which are priced per workspace, not per user. Every other number here comes from a public source with the date we read it, or from an assumption we state so you can change it.
One more thing to know before the model: the CRMs, ERPs and portals we build are configured and extended on the Xale platform (opens in a new tab), as our team reports, and we don't sell from-scratch builds. Read the person-month model below as what other builders charge, and as the work a platform saves.
Two quotes for "a CRM" can differ tenfold and both be honest, because each hides two numbers: the person-months the vendor expects and the cost of one person-month. This guide shows both, opens up two real builds, and covers running costs, build vs buy and briefing vendors.
How much does custom software cost in India in 2026?#
Treat this table as a model, not a rate card: effort in person-months multiplied by the cost of one person-month. The next section explains both rate columns.
Planning ranges, checked on 4 October 2026, excluding GST, hosting, usage fees and maintenance. The effort figures are our assumptions; integrations, data migration and slow decisions cause most delays. Confirm with written quotes.
As a cross-check, GoodFirms' Custom Software Development Cost Survey 2026, based on responses from 100+ software companies worldwide, found that 66% typically charge $30,000–$100,000 for small to mid-sized projects (opens in a new tab) (published 17 March 2026). That is about ₹29–96 lakh at ₹95.99 to the dollar, inside our Clutch-band column for CRMs and ERPs. And the branch accounts dashboard we built for a multi-branch Kerala business is the kind of scope the first row describes.
Where do these numbers come from?#
Every quote is the same multiplication: person-months × the cost of a person-month.
What do developers and designers earn in Kerala?#
Pages read on 4 October 2026. AmbitionBox shows averages as a band.
Indeed's job-advert figures run lower; AmbitionBox's self-reported ones lean towards Kochi's larger IT employers (it shows Kochi developers earning 32% more than its India average). Together they put most Kochi software salaries at ₹4–13 lakh a year: ₹35,000–₹1.1 lakh a month.
What do software firms charge an hour?#
Clutch's pricing guide, updated 21 September 2026, puts India's typical rate at $25–$49 an hour (opens in a new tab), and several of the highest-ranked firms in its India directory (opens in a new tab) of 8,428 (ratings updated 4 October 2026) list under $25. GoodFirms found 56% of software companies worldwide charge $20–$50 an hour.
At ₹95.99 to the dollar, the FBIL reference rate for 1 October 2026 shown on the Reserve Bank of India's website (opens in a new tab), $25–$49 is about ₹2,400–₹4,700 an hour, or ₹3.8–7.5 lakh for a 160-hour person-month. That is the right-hand column.
How does a salary become a vendor's rate?#
No vendor can bill at salary: leave, gaps between projects, office, licences, management, sales and profit all sit on top. For a lean local team, our planning assumption is twice the salary of the people doing the work. A blended team of juniors, seniors, a designer, QA and a part-time project manager costs ₹50,000–₹1 lakh a month in salary, hence ₹1–2 lakh per person-month in the left-hand column. Established firms with senior staff sit between the two columns.
A worked example: a from-scratch CRM with Meta lead ads, a WhatsApp inbox and reports might need two developers for two and a half months (5 person-months), a designer for half a month (0.5), QA for a month (1) and a part-time project manager (0.5). That is 7 person-months: ₹7–14 lakh from a lean team, ₹27–53 lakh at the Clutch band. Same screens; only the rate differs.
Priced on Xale, the same CRM isn't built from those person-months. Meta lead ads sync, the WhatsApp inbox and the report builder are already there, as xale.in's feature list (opens in a new tab) describes them, so the work is configuration and whatever your process adds: one fee from ₹5 lakh for a CRM with a WhatsApp inbox, before GST. Or, as a subscription, it runs on one of Xale's own plans: priced per workspace, with every feature included and no per-user licence, as Xale's pricing page (opens in a new tab) lists them. Enterprise custom deployment and enterprise pricing are available on request.
What drives the cost up or down?#
In the GoodFirms survey, 95.3% of firms named project complexity as the top cost driver, and scope creep added 10–25% to costs. These are the levers behind "complexity":
Each row on the right adds screens, rules and testing, which is why "it just needs to connect to WhatsApp" is rarely a small line. The platforms row is often the biggest single choice, and PWA vs native app shows when one installable web app is enough. AI features carry their own build and running costs, which our AI automation cost guide prices from sellers' published figures.
What is inside a real build? Xale and ReelsBuddy#
Our starting prices are public, and we can also show what two of our builds contain, because contents drive cost. Our team built both: Xale CRM is made by Xale Private Limited in Kozhikode, co-founded by Marketlube's two co-founders with Arjun CV and built by the team behind Marketlube, and ReelsBuddy is a Marketlube company that runs on an ERP we built.
What the anatomy tells you about cost:
- Xale has the scope of the multi-role platform row: many roles and access levels, two platforms, two languages, live feeds from Meta, WhatsApp and counsellors' phones, and an AI layer. With 10,000+ new leads captured every month, search, reports and imports must also stay fast, engineering that a 20-user tool never needs.
- ReelsBuddy's ERP has the scope of the ERP row: five modules over shared records, since a sold video is at once a lead, a production card and a balance due. Running as one installable web app rather than separate store apps keeps a build like this leaner.
That is a statement about scope, not about what either build cost. It is also why we build on Xale: a CRM configured on it starts with that scope already written and tested.
What does custom software cost after launch?#
These lines continue for as long as the software runs:
- Hosting. On DigitalOcean's price lists (read 4 October 2026), a small tool on one $12-a-month server (opens in a new tab) with a $15.15 managed PostgreSQL database (opens in a new tab) costs about ₹2,600 a month. A CRM or ERP on two $24 servers, a $60.90 database and $5 object storage (opens in a new tab) comes to about $114, or ₹10,900 a month (₹1.3 lakh a year). Platforms with thousands of users need more servers, a standby database and monitoring.
- Maintenance. Security patches, updates, backup checks and small fixes. Our planning assumption for a stable CRM or ERP is two to five developer-days a month: ₹10,000–₹50,000 at the lean rate, ₹38,000–₹1.9 lakh at the Clutch band. New features are new work.
- Usage fees. Meta has charged for WhatsApp per delivered template message since 1 July 2025, and since 1 October 2026 it also charges for free-form replies inside an open customer service window once a business number has used its 1,000 free ones for the month. Rupee billing launched for India on 1 January 2026 (Meta's WhatsApp pricing (opens in a new tab) and WhatsApp Business FAQ (opens in a new tab), read 4 October 2026). SMS, telephony, maps and AI services also bill per use, including the model calls inside any AI automation; our LLM integration guide prices the main AI models in rupees.
- App stores. Apple's developer programme costs US$99 a year (opens in a new tab); Google Play charges a one-time US$25 (opens in a new tab).
- Privacy compliance. The DPDP Rules, notified on 14 November 2025, set an 18-month phased compliance timeline that ends in May 2027. They require standalone, plain consent notices, breach notification to affected people, and answers to access, correction and erasure requests within 90 days (PIB, 14 November 2025 (opens in a new tab)). Failing to keep reasonable security safeguards can draw a penalty of up to ₹250 crore (PIB backgrounder, 17 November 2025 (opens in a new tab)). Consent records, audit logs and deletion tools cost far less designed in than retrofitted.
Should you build or buy?#
Buying usually wins for small teams with standard processes. When the process doesn't fit a product, the next question is whether a platform already covers it, before anyone prices a from-scratch build. With list prices read on 4 October 2026, Zoho CRM (opens in a new tab) Professional costs ₹1,400 per user per month on yearly billing, plus GST: ₹5.04 lakh a year for 30 users, ₹16.8 lakh for 100. A CRM on Xale paid as one fee starts from ₹2 lakh for a focused lead CRM and from ₹5 lakh with a WhatsApp inbox, before GST, at 30 users or at 100. WhatsApp fees are the same either way.
Before Zoho setup, add-ons and GST. The one fee is the build alone: support and running costs after go-live come on top.
The fee doesn't change with headcount, so the gap widens as the team grows: at 30 users the ₹5 lakh fee is about a third of Zoho CRM Professional's three-year licences, and at 100 users about a tenth. What the licences leave over the fee, ₹10.1 lakh and ₹45.4 lakh, is the room for three years of support and running costs, so ask for those in writing. A small team with a standard process should still buy the packaged plan: Zoho CRM Standard is ₹800 on the same price list, with nothing to pay upfront. Taken as a subscription, a CRM on Xale runs on one of Xale's own plans, which are priced per workspace, so the bill doesn't grow with each seat inside the plan. Our Zoho CRM vs custom CRM comparison covers adoption and the cases where Zoho is simply the better pick.
ERPs follow the same logic. Odoo's India price list (opens in a new tab) shows ₹725 per user per month for Standard and ₹1,350 for Custom on yearly billing, and excludes implementation services and maintenance of custom code. For 50 users on Custom, that is ₹8.1 lakh a year before a partner configures anything. An ERP on Xale paid as one fee starts from ₹4 lakh for its first module and from ₹12 lakh for four to six linked modules, before GST, at 5 users or at 50.
Three routes. A packaged subscription such as Zoho, HubSpot or Odoo fits a standard process and a small team, and is often the cheaper answer for them: Zoho CRM Standard asks ₹800 a user a month and nothing upfront. A system on Xale fits a distinctive process, many users or heavy WhatsApp and portal work. It is configured and extended on a platform that already exists, so it is paid as one fee or as a subscription on one of Xale's own per-workspace plans. Our price list gives 6 to 12 weeks to a first working CRM and 8 to 12 to an ERP's first module. A from-scratch build is what other builders sell, at the person-month prices in this guide. We don't, because many of those person-months go into roles, automations and reports the platform already has.
Study abroad consultancies, academies and colleges don't need a build at all: Xale is sold to them directly on xale.in (opens in a new tab). Whichever route you take, our WhatsApp CRM guide explains the messaging layer.
There is a middle option too: our comparison of low-code and custom software prices Power Apps, Zoho Creator and AppSheet against a build.
For the two builds this guide keeps coming back to, the detail is in what it takes to build a CRM that scales and custom ERP vs Odoo or Zoho.
How do you brief a vendor so quotes are comparable?#
Quotes differ mostly because each vendor guesses a different scope. Send everyone the same brief:
- Users and roles: who logs in, how many of each, and what each may see.
- Workflows: stages, hand-offs and approvals.
- Data: what you track, today's volumes and what must be migrated.
- Integrations: every system it must talk to, and whether each offers an API.
- Platforms and languages: web, Android or iOS; English, Malayalam or Arabic.
- Scale: users and records in three years, speed, uptime and backups.
- Compliance: consent, audit logs, deletion requests and where data is hosted.
- Ownership: for a from-scratch build, the source code, cloud accounts and data in your company's name; on a platform, your data and your configuration, exportable at any time.
Then ask for every quote in the same shape:
Side by side, a ₹6 lakh quote and a ₹40 lakh quote stop being a mystery: you can see whether the gap is effort, rate or scope.
Once the quotes are in, our guide to choosing a software development company in Kerala has the questions to ask each vendor and the contract clauses to check before you sign.
Frequently asked questions#
How much does a custom CRM cost in India?#
By this model, a from-scratch CRM with lead capture, a pipeline, a WhatsApp inbox and reports takes about 4–8 person-months: ₹4–16 lakh from a lean Kerala team and ₹15–60 lakh from a firm charging Clutch's India band of $25–$49 an hour. A simple lead tracker can sit in the small-tool range of ₹2–8 lakh. A CRM configured on an existing platform skips most of that effort and is priced as one fee, or as a subscription on the platform's own plans. GST, hosting and usage fees are extra.
Is an in-house developer cheaper than hiring a firm?#
On salary alone, yes: Indeed's average for a software engineer in Kochi is ₹5.48 lakh a year (September 2026). But one developer rarely covers design, testing, hosting and project management, and when that person leaves, the knowledge leaves too. In-house suits software that is core and changes every week; a firm suits a defined build with a support plan after it.
Do AI coding tools make custom software cheaper?#
Somewhat. In GoodFirms' 2026 survey, 90.6% of software companies used AI-powered tools across development, and 61% expected AI to reduce project budgets by 10–25%. AI speeds up routine code. Deciding the workflow, testing edge cases, connecting systems and owning security still take most of the person-months.
Get quotes you can compare#
The cheapest way to buy custom software is to know what you are buying before anyone writes code. For a second opinion on a brief or a quote, or a proposal written in the shape above, tell us what the software needs to do. You can also see how we build CRMs around the way a sales team works on Xale, read the platform underneath, and what we build on it, and read the full Xale and ReelsBuddy case studies.
Changelog#
- 2026-10-08: ReelsBuddy's output corrected to 3,000+ videos so far (reported by our team, October 2026).
- 2026-10-09: our own starting prices are now public on marketlube.in/pricing, so the disclosure line gives them (a small internal tool, a web app or portal, a focused lead CRM and an ERP's first module) and the section on our builds says so.
- 2026-10-11: Linked our AI automation cost guide from "What drives the cost up or down?", for AI features' build and running costs.
- 2026-10-12: Said plainly that the CRMs, ERPs and portals we build are configured and extended on Xale, paid as one fee or as a subscription on one of Xale's own plans, which are priced per workspace, and that the person-month model is what other builders charge for from-scratch work. "Should you build or buy?" now sets our one fee for a CRM with a WhatsApp inbox beside Zoho CRM Professional's licences (₹5 lakh against ₹15.1 lakh over three years at 30 users) and our ERP fees beside Odoo; the three-year row that assumed a from-scratch CRM with its own hosting and maintenance was removed, and the CRM example is also priced on Xale. Xale's figures now read as xale.in publishes them today (its fact sheet, read 12 October 2026): 10,000+ new leads captured every month and 150+ user seats in its largest single workspace (Platform figures, September 2026). The older user and lead totals are gone, because xale.in no longer publishes them. The line that introduces the two builds now says our team built both, and the three-routes paragraph is in this guide's own words, with our price list's weeks (6 to 12 to a first working CRM, 8 to 12 to an ERP's first module) where it said only that a system on Xale is live in weeks. On 13 October the per-user subscription figure this update first carried was withdrawn, with every sum built on it: the subscription is now described as Xale's own per-workspace plans, as Xale's pricing page lists them, and no figure is printed for it.
