Full disclosure: we build custom ERPs on Xale. Our team built Xale's CRM, and builds ERP and HR modules on the same platform (reported by our team), and Xale's platform page (opens in a new tab) describes the foundation under them. As one fee, ours start from ₹4 lakh for a first module, on the foundation the platform already has (users, roles, branches, an audit log and backups), and from ₹12 lakh for four to six linked modules, before GST, as our pricing page shows; as a subscription, an ERP on Xale runs on one of Xale's own plans, which are priced per workspace, not per user. Xale CRM is made by Xale Private Limited and built by the team behind Marketlube, and our team also built the ERP that ReelsBuddy, a Marketlube company, runs on, so we are not neutral. We aren't Odoo or Zoho partners, and we still point plenty of growing firms to Odoo, Zoho or Tally first; the numbers below show why.
It's written for owners in Kerala, the rest of India and the Gulf whose spreadsheets and WhatsApp groups no longer add up to one picture, with three-year costs at list prices read on 9 October 2026 and every assumption shown.
What does a growing firm actually need from an ERP?#
An ERP is one system for the work that crosses departments: sales, purchases, stock or production, accounts, people and reports, all sharing one set of data. The signs that you need one are familiar:
- The same customer is typed into the sales sheet, the invoice and the delivery note.
- Month-end takes a week because accounts reconcile what sales and operations recorded separately.
- Managers ask for status on WhatsApp because no screen shows it.
- Advances, balances and dues live in one person's notebook.
ReelsBuddy hit exactly this wall. With 3,000+ videos made so far (reported by our team), and 389 sold from 1 to 28 September 2026 alone by its ERP's count, spreadsheets couldn't keep up with the leads, advances, balances, scripts, shoots and edits.
Not every firm needs a full ERP. If the pain is mostly leads and follow-ups, a CRM built around your sales team may be all you need; if it's mostly invoicing and GST, accounting software may be. An ERP is for when departments need to share one record.
Which licence prices does this comparison use?#
Every vendor figure below is the vendor's own list price for India, billed yearly and before GST, read on 9 October 2026: Odoo (opens in a new tab) Standard at ₹725 a user a month and Custom at ₹1,350, Zoho One (opens in a new tab) at ₹1,250 an employee on its All-Employee plan and ₹3,500 a user on Flexible, and Zoho ERP (opens in a new tab) at ₹999 a user on Standard and ₹2,499 on Premium. Odoo's full plan list, its first-year prices and what an Odoo implementation costs are in our Odoo pricing and implementation cost guide.
Our own figures are the one-fee starting prices on our pricing page: a first module, on the foundation the platform already has, from ₹4 lakh, each further module from ₹2 lakh and four to six linked modules from ₹12 lakh, all before GST. The subscription has no figure in this comparison. It runs on one of Xale's own plans: priced per workspace, with every feature included and no per-user licence, as Xale's pricing page (opens in a new tab) lists them. Enterprise custom deployment and enterprise pricing are available on request.
What does an ERP cost over three years at 10, 25 and 50 users?#
Take the same firm at three sizes, with every user working in the system daily. Licences over 36 months at the prices above, against an ERP on Xale at our one-fee starting prices:
The assumptions, so you can change them:
- Users: everyone works in the system daily. Staff who only mark attendance or file expenses are cheaper on both packaged routes, as Odoo light users at ₹195 a month or Zoho ERP employee seats at ₹249, which would lower those bills.
- Zoho One All-Employee licenses everyone on the payroll, so employees equal users here.
- The Odoo all-in rows add Braincuber's published Indian implementation ranges (22 July 2026 (opens in a new tab): ₹1.5 to 4 lakh at 10 users and ₹4 to 15 lakh for 10 to 30 users, which we also use at 50) and support at 15 to 20% of the implementation a year.
- The one-fee rows are the fee alone, paid once, so they read the same at 10 users and at 50: a first module, on the foundation the platform already has (from ₹4 lakh with us, before GST), and four to six linked modules with data migration from ₹12 lakh. Each further module is from ₹2 lakh. Support after go-live and the running costs billed at cost aren't in these rows, just as an implementation isn't in the packaged licence rows, so ask for both in writing and add them before you compare.
- The subscription row has no figure. Taken as a subscription, an ERP on Xale runs on one of Xale's own plans, and those are priced per workspace, not per user, so there is no price to multiply by users and months. Xale's pricing page, linked above, lists the plans, and enterprise custom deployment and enterprise pricing are available on request.
How much can a custom build cost and still break even?#
A fee paid once breaks even with a per-user plan when the fee, plus three years of support and running costs, comes to the licences you would otherwise have paid. So every licence bill above is a ceiling for the build and its running costs together. This table turns it round: for each of our one-fee starting prices, it names the plans whose three-year licences come to more than the fee.
The fee alone against list-price licences, before support and running costs on our side and before an implementation on the packaged side. A plan that isn't named costs less than the fee before any running cost is counted. For a plan that is named, what its licences leave over the fee is the room for three years of support and running costs.
What the tables show:
- At 10 users, the packaged products mostly cost less. Three years of Odoo Standard licences (₹2.61 lakh) or Zoho ERP Standard licences (₹3.60 lakh) come to less than our smallest fee. Odoo Custom (₹4.86 lakh) and Zoho One All-Employee (₹4.50 lakh) pass a first module's ₹4 lakh by ₹0.86 lakh and ₹0.50 lakh, which is all the room there is for three years of support and running costs. Only Zoho ERP Premium and Zoho One Flexible cost clearly more than a small build.
- At 25 users, it depends on the plan and the scope. A first module, or a first module and one more, comes in under every plan's licences. A first module leaves ₹2.53 lakh of room under Odoo Standard's ₹6.53 lakh and ₹8.15 lakh under Odoo Custom's ₹12.15 lakh. Four to six linked modules come in under Odoo Custom's licences by only ₹0.15 lakh, and above Zoho One All-Employee's ₹11.25 lakh.
- At 50 users, the ₹12 lakh fee is under every licence bill: by ₹1.05 lakh against Odoo Standard, ₹10.50 lakh against Zoho One All-Employee and ₹12.30 lakh against Odoo Custom. Against Odoo Standard the room is thin, so there the case for custom is fit, not price.
- Setup and support change both sides. A partner's implementation and support lift Odoo Custom to ₹17.95 to 36.15 lakh at 25 users. On our side, support and running costs after go-live come on top of the fee, so get both figures in writing before you compare totals.
- After year three the paths split. Licences keep billing: ₹0.87 lakh a year on Odoo Standard and ₹1.62 lakh on Odoo Custom at 10 users, ₹4.35 lakh and ₹8.10 lakh at 50. A fee paid once is behind you, and only support and running costs continue.
- The one fee doesn't grow with headcount. It is the route for many people who each need a small slice: the fee stays where it is while per-user bills grow with every hire.
- The subscription works differently again. A per-user bill grows with every seat. A per-workspace plan doesn't add a charge for each seat inside the plan, and which plan a team needs depends on its seats, leads and branches, as Xale's pricing page lists them.
What changes in dirhams?#
Zoho prices its UAE plans in dirhams, and they are well above its rupee prices: at the FBIL reference rate of ₹26.3477 a dirham (8 October 2026, shown on the Reserve Bank of India's site (opens in a new tab)), Zoho One's UAE prices are 2.5 to 2.9 times its Indian ones. Our one fee for the same four to six modules in the Gulf starts from AED 60,000, before VAT:
Zoho's UAE list prices from the price data its pricing page loads, read 9 October 2026, before VAT. Odoo's UAE prices aren't shown: Odoo prices by the visitor's country, and we could read its list only from India.
In dirhams the line moves. The AED 60,000 fee is more than Zoho One All-Employee's three-year licences at 10 users (AED 48,600), about half of them at 25 users (AED 121,500) and about a quarter at 50 (AED 243,000), before support and running costs on our side and any implementation on Zoho's. The subscription has no dirham figure here either: it runs on Xale's own per-workspace plans, and enterprise custom deployment and enterprise pricing are available on request.
When do Odoo, Zoho or Tally fit best?#
- TallyPrime, for the books. If your accountant already works in Tally and operations are simple, keep it. It covers accounting, inventory, GST, e-invoicing and e-way bills; Gold, for several users, costs ₹67,500 for a lifetime licence that includes TSS, and renewing TSS costs ₹13,500 a year, before GST (Tally (opens in a new tab) and TSS renewal (opens in a new tab), read 9 October 2026).
- Zoho Books, for cloud accounting. From ₹749 a month per organisation, billed yearly (Zoho Books (opens in a new tab), read 9 October 2026), with GST filing and e-invoices built in; a sensible step for service firms and traders who want their accounts online.
- Odoo, for standard operations in one system. One fee covers every app, and its Indian localisation handles GST e-invoicing, e-way bills and GSTR-1 filing (opens in a new tab) (read 9 October 2026). It suits distributors, retailers, light manufacturers and service firms whose processes match how Odoo works. Customising it needs the Custom plan.
- Zoho One, for firms that will use the suite. If sales, marketing, support, HR and finance will all live in Zoho, the per-employee price buys a lot. If you need two apps, it doesn't.
- Zoho ERP, for finance-led operations. Sold separately from Zoho One, it covers finance, supply chain, manufacturing and payroll, with a yearly cap on transactions: 100,000 on Standard and 300,000 on Premium.
All of them work best when you adopt the software's way wherever it's better and save customisation for what really sets you apart. Most now ship AI features as well; our guide to AI in ERP compares what Odoo, Zoho Books and Tally offer in 2026 and which tasks pay back first.
When does a custom ERP earn its price?#
For us a custom ERP means one configured and extended on Xale, a module at a time. The foundation every module needs (users, roles, branches, an audit log and backups) already exists on the platform, as xale.in's platform page, linked above, describes it, so the first phase puts one module live instead of laying groundwork. Set beside the packaged products, there are three routes:
Three routes. Odoo, Zoho One or Zoho ERP on a subscription fit processes that look like most companies' and a small team, and Odoo Standard, at ₹725 a user a month, is often the cheaper answer for them. An ERP on Xale fits an unusual core workflow, many people who each need a small slice, or WhatsApp and portal work that carries the business. Its modules are configured and extended on a platform that already exists, it is paid as one fee or as a subscription on one of Xale's own per-workspace plans, and a first module takes 8 to 12 weeks on our price list. A from-scratch ERP is what other builders sell. We don't sell one: its first months go into the foundation the platform already has.
An ERP on Xale earns its price when:
- Your core workflow is the business. A production line of scripts, shoots and edits or a project-based job card can usually be modelled in a packaged ERP with customisation, but the more you customise, the more you are building custom software inside a per-user licence.
- Many people need a small slice. Editors, presenters, field staff or franchisees who need one screen each make per-seat pricing expensive, and one fee for the build doesn't grow with them.
- Your team works on phones. A phone-first interface built for how your staff work gets used; a desktop ERP squeezed onto a phone often doesn't.
- Integrations carry the business. Payment links, WhatsApp, your website, marketplaces and accounts all talking to one record.
- You want it to bend to you. Everything in it is customisable: fields, pipelines, roles, modules, automations and reports. Your data and your configuration are yours, exportable any time, in a workspace in your company's name. The platform itself stays Xale Private Limited's.
What does a custom ERP look like in practice?#
ReelsBuddy, a Marketlube company, has made 3,000+ videos so far (reported by our team), on a public menu from ₹999 for a shoot-only package and from ₹1,999 for a full video (presenter, script, shoot and edit). We built its entire ERP as one phone-first web app:
On 28 September 2026 its dashboards showed 5,408 leads handled since launch, 423 cards on the live production board and 706 job applications, counts we read from the ERP for the ReelsBuddy case study.
Three design choices carry over to any custom ERP:
- Money and work on the same card. Because each video's card shows the payment still due, production and collections never drift apart. In separate systems, they always do.
- Numbers that explain themselves. Notes say how each figure is counted and periods compare like with like, so nobody argues about the method.
- Built for phones, shared on WhatsApp. An installable web app, one date bar from today to the financial year, and WhatsApp-ready summaries fit how a busy team works.
How do integration and adoption change the answer?#
Ask early how each option connects to your payment gateway, WhatsApp, website and accountant. On packaged products, integration can carry its own price: Odoo's external API, where other software calls Odoo, needs the Custom plan, and Zoho ERP sells API capacity as an add-on at ₹999 a month per 10,000 daily calls, according to their pricing pages. With a custom ERP each integration is designed for you, and someone has to maintain it.
Adoption decides the rest: launch with fewer fields than you think you need, give each role only its own screens, train on real data, and run the weekly review from the system. The ERP that works is the one your storekeeper and your accountant both open every day.
What changes with e-invoicing in India and the UAE?#
- India: since 1 August 2023, e-invoicing has been mandatory for B2B invoices from businesses whose aggregate turnover exceeds ₹5 crore, under GST Notification 10/2023, as summarised on the IRIS e-invoice portal (opens in a new tab) (read 4 October 2026). Odoo, Zoho Books, Zoho ERP and TallyPrime all list e-invoicing.
- UAE: the e-invoicing system began with a pilot on 1 July 2026. Businesses with annual revenue of AED 50 million or more must appoint an Accredited Service Provider by 30 October 2026 and go live on 1 January 2027; smaller businesses must appoint one by 31 March 2027 and go live on 1 July 2027. That comes from the Ministry of Finance's announcement of 29 September 2025 (opens in a new tab) and its amendment of 10 May 2026 (opens in a new tab) (both read 4 October 2026). B2C sales are not mandated. Our UAE e-invoicing guide covers the penalties and what invoicing software must change.
The lesson for a custom build: don't rebuild tax compliance from scratch. Keep accounts in a product that tracks the rules, or integrate with a GST Suvidha Provider in India or an Accredited Service Provider in the UAE, and budget for that link.
How risky is migrating to a new ERP?#
The risk sits in the data, not the software. Five habits keep it manageable:
- Pick a clean cut-over date, such as the start of a month or the financial year, so opening balances are clear.
- Migrate balances, not just records: opening balances, stock quantities and values, open orders, unpaid invoices and advances.
- Clean the masters first: de-duplicate customers, suppliers, items and GSTINs before import.
- Run one cycle in parallel and reconcile it before switching the old system off.
- Plan your exit on day one. Odoo's pricing page says Odoo Online lets you download a backup of your database at any time. For an ERP on Xale, your data and your configuration export at any time. For a from-scratch build, the contract should hand you the source code, the database and the hosting account.
Can you mix custom and packaged software?#
Often, yes:
- Custom core, packaged books. Run the operational core (orders, production, field work) on Xale and send invoices to TallyPrime or Zoho Books, where your accountant and the tax rules already live.
- Packaged ERP, custom edges. Run Odoo or Zoho for the standard modules and build a portal, a phone app for field staff or dashboards around them, like the branch accounts dashboard we built for a multi-branch business in Kerala.
- Phase it. Replace the spreadsheet that hurts most first, then add modules one at a time.
For a small gap, a low-code app on Zoho Creator or Power Apps is a fourth path; our comparison of low-code and custom builds shows when it stays cheaper.
If the module that hurts most is sales, start with the CRM: what it takes to build a CRM that scales walks through the data model and adoption. For budgets, our custom software cost guide shows how quotes are built.
A checklist for the ERP decision#
Frequently asked questions#
Is Odoo free?#
Odoo's One App Free plan gives unlimited users one app, plus any apps it depends on, on Odoo Online at no cost. Using more than one app needs the Standard or Custom plan, priced per user.
Is Zoho ERP included in Zoho One?#
No. Zoho's pricing page says Zoho ERP is a separate product with its own plans and pricing.
At what size does a custom ERP cost less than Odoo?#
Not below a certain size, and above it, it depends on the running costs. On Odoo's India list prices, read 9 October 2026, the one fee for a first module with us (₹4 lakh at its starting price, before GST) is more than three years of Odoo Custom licences below 9 users and more than three years of Odoo Standard licences below 16. The fee for four to six linked modules (₹12 lakh at its starting price) is more than Odoo Custom's licences below 25 users and more than Odoo Standard's below 46. Under those sizes Odoo costs less on price whatever else is counted. Above them, support and running costs come on top of our fee and an implementation on top of Odoo's licences, so ask for each in writing.
Who owns the code and data in a custom ERP?#
It depends on the route. With a from-scratch build, you should, but only if the contract says so: ask for the source code, the database, the hosting account in your company's name, and documentation. With an ERP on a platform such as Xale, the platform stays its maker's, and your data and your configuration are yours, exportable any time, in a workspace in your company's name.
What to do next#
List your departments, your daily and occasional users and the one spreadsheet that hurts most, then run them through the tables above. If a packaged ERP fits, start there. If it's close, or your core workflow is the business, tell us how your operations run today and we'll sketch a phased ERP on Xale, or tell you honestly that Odoo, Zoho or Tally fits better. You can also see how we build custom ERPs a module at a time, and read the platform underneath, and what we build on it. Schools, colleges and training institutes choosing between an ERP and a CRM can start with xale.in's guide to ERP vs CRM for educational institutes (opens in a new tab). Changelog#
- 2026-10-08: ReelsBuddy's output corrected to 3,000+ videos so far (reported by our team, October 2026).
- 2026-10-09: Re-read every vendor price on 9 October 2026 and rebuilt the cost section as three-year tables at 10, 25 and 50 users, with Odoo's first-year price, the break-even build, a dirham table and our own build prices. Odoo's full price list now lives in our Odoo pricing guide. The 10-user lines now match the break-even table (two modules with us come in under Zoho One Flexible), and India's e-invoicing threshold reads as Notification 10/2023 words it: aggregate turnover that exceeds ₹5 crore.
- 2026-10-12: The custom route is now stated as it is: an ERP configured and extended on Xale, paid as one fee or as a subscription on one of Xale's own plans, which are priced per workspace, with enterprise custom deployment and enterprise pricing on request. The row and the break-even table that assumed a from-scratch build with its own hosting and support were removed: the three-year and dirham tables now carry our one-fee starting prices as the fee alone, and the break-even section names the plans whose three-year licences come to more than each fee. A from-scratch build is described as what other builders sell. The disclosure and the price lines now describe a first module as it is priced, a module on the foundation the platform already has (users, roles, branches, an audit log and backups), and the disclosure says our team built Xale's CRM, and builds ERP and HR modules on the same platform (reported by our team). The three-routes paragraph is written around this comparison's own figures, with 8 to 12 weeks for a first module from our price list. On 13 October the per-user subscription figure this update first carried was withdrawn, with every row and sum built on it: the subscription is now described as Xale's own per-workspace plans, as Xale's pricing page lists them, and no figure is printed for it.
