We run Meta ads for businesses in Kerala and the Gulf and review ad accounts in paid consultations, so we have a stake in this topic. Every Meta rule below links to Meta's own help page or documentation, read on 8 October 2026.

Every engagement on our performance marketing page opens with an audit: "We tear down your ad accounts, tracking and last 90 days of spend, then hand you a written verdict." This is our checklist for it, written so you can run it yourself. All 30 checks sit in one table near the end: copy it into a sheet as your audit template.

Who owns the account, the pixel and the page?#

Start here, because a mistake here can't be undone. Meta's page on adding an ad account to a business portfolio (opens in a new tab) says an account created in a portfolio "will permanently be a part of that portfolio" and "can't be deleted or transferred". So an ad account your agency created in its own portfolio stays there. The right set-up keeps the account in the client's portfolio, with the agency given access.

Check that the ad account, the pixel or dataset, the Facebook Page and the Instagram account all sit in the portfolio of the business that pays. That's our own rule too: ad spend is billed to the client directly, and the ad accounts, pixels and data stay in the client's own business manager.

Then check who can get in. Meta's security recommendations (opens in a new tab) make a ready audit: remove people who haven't logged in within 90 days or have no passkey or two-factor authentication, limit full control to those who need it, and keep two active people with full control (recommended, not required). Finally, check account quality in Business Support Home (opens in a new tab), which shows any advertising restrictions.

Is your tracking telling the truth?#

Open Events Manager and check four things.

  1. Events arrive. Meta's guide to verifying a set-up (opens in a new tab) says events should show within 20 minutes, and the Event Freshness tab shows how late they arrive.
  2. Nothing is counted twice. When the pixel and the Conversions API both send an event, Meta matches them by event ID and event name (opens in a new tab); without that, one enquiry can count as two.
  3. Events match people. Event match quality (opens in a new tab) scores server events out of 10, and Meta's developer guide typically recommends 6.0 or higher. Email and the click ID carry the most weight.
  4. Your domain is verified. Domain verification (opens in a new tab) is free and controls which Pages can edit your link previews and ads.

Then check what Events Manager can't: whether Meta's count matches your CRM, and whether the CRM's stages go back to Meta, as our guide to offline conversion tracking shows. Check what each campaign optimises for, too: Meta finds people likely to do what you choose, so a lead business optimising for link clicks gets clickers.

Is the structure fighting Meta's delivery?#

An ad set needs about 50 results in the week after its last significant edit to leave the learning phase (opens in a new tab). Sort your ad sets by delivery status: each one marked "Learning limited" is, in Meta's words, unlikely to receive about 50 optimization events (opens in a new tab) that week.

The usual cause is too many ad sets. When two of yours compete for the same person, Meta enters only the stronger one, and this auction overlap (opens in a new tab) can stop an ad set spending its budget or leaving learning, even across separate ad accounts. Meta's fix is to combine similar ad sets (opens in a new tab) and use breakdowns, not extra ad sets, to see results by age, gender or region.

Then read the change history. Changes to targeting, creative or the optimisation event, a new ad, a new bid strategy and a pause of 7 days or more are significant edits (opens in a new tab) that restart learning, so an ad set edited every few days keeps restarting the week it needs.

Are your audiences and placements doing what you think?#

  • Location, language and hours. Keep only the limits your business really has: a Kozhikode clinic gains nothing from Kollam enquiries, and a Gulf NRI campaign needs replies in Gulf hours, as our guide to targeting Gulf NRIs explains. Every other limit shrinks the audience, and Meta's pricing page (opens in a new tab) says ad sets with an audience of at least 2 million "often see better performance".
  • Exclusions. Meta removed detailed targeting exclusions (opens in a new tab) in 2025, so exclusions now work mainly through custom audiences, such as your customer list, uploaded with consent.
  • Placements. Read the placement breakdown before switching any off, and compare cost per qualified lead, not cost per click.

For instant forms, check the type. Meta's page on instant form types (opens in a new tab) says the higher-intent form adds a review screen to "prevent receiving submissions from those people who are only marginally interested", though it runs only in mobile feeds. Add one qualifying question, such as budget, course or location.

Are the creatives tired?#

Meta tells you, if you look. On an ad set with one creative, the delivery column shows Creative limited (opens in a new tab) when cost per result is above your past ads but under twice theirs, and Creative fatigue at twice or more. For ads with 500 or more impressions, ad relevance diagnostics (opens in a new tab) rank quality, engagement and conversion rate against competing ads.

Then judge ideas, not single ads, because Meta groups look-alike ads (opens in a new tab) as variations of one creative. In the Meta ads our team ran for Clarix Education in its 2026 admission season, one idea, "Build your career", ran as eight ads and brought in 742 of the season's 1,466 lead-form enquiries, at ₹215 each against ₹262 across the 87 ads that brought enquiries in (Meta's count). If every live ad is a variation of one idea, the fix is new ideas, not new captions; our guide to selling FMCG products online covers testing 10 to 20 creatives.

Do clicks land somewhere that converts?#

Open each ad on a phone and follow it to the end. The page should repeat the ad's promise, load fast on mobile data and offer one clear action. Our landing page checklist has 25 points, and 2.5 seconds for the largest element to load is the maximum we target on our own money pages.

If the ad opens WhatsApp, "messaging conversations started" includes every single "Hi": count two-way conversations and qualified leads instead, as our click-to-WhatsApp guide explains.

Are the leads followed up?#

This is where much of the money leaks, and Ads Manager can't see it.

  • Where leads go. Instant-form leads can be downloaded for up to 90 days, Meta's page on expired leads (opens in a new tab) says, and its advice on responding to leads (opens in a new tab) is to capture them immediately through a connected CRM or Leads Center.
  • When ads run. The same page recommends running lead ads "during your business hours" when leads need a quick reply. In our experience, an enquiry left overnight has usually spoken to a competitor by morning.
  • What happens next. Trace 20 recent leads: reached or not, how fast, with what result. Our guide to converting enquiries into admissions sets out a WhatsApp-first routine and the connect rate to track.

Add tracking parameters (opens in a new tab) to every instant form, so each lead reaches your CRM with its campaign attached. Xale, the CRM built by the team behind Marketlube, collects every submission from a connected form by itself, with its campaign, form, ad set and ad attached, as xale.in describes it (opens in a new tab).

Is the budget paced to learn?#

Each ad set needs a daily budget of about your cost per result × 50 ÷ 7, as our guide to Meta ads budgets per day explains; compare that with what each one gets. With a cost per result goal, Meta's minimum budget page (opens in a new tab) says the daily budget should be at least 5 times the goal. Then test the goal against what a lead is worth: our cost per lead guide works out a break-even cost per lead from margin and close rate.

What do Meta's reports hide?#

  1. The counting rules. A result is Meta's count under the ad set's attribution setting (opens in a new tab): for website conversions, a link click within 1 or 7 days, a view within 1 day or another engagement within 1 day. Meta warns that results can't be compared across ad sets with different attribution models.
  2. The spread behind an average. Clarix's lead-form ads launched in February cost ₹120 an enquiry, and those launched in May ₹374 (Meta's count, on the ads that brought enquiries in; the months come from each ad's name, so they're approximate). The season's ₹262 describes neither, so compare like with like.
  3. Results that aren't the same thing. For Drillshore Academy, a training institute in Kochi, course enquiries from its Meta ads cost ₹47 each and its own placement-drive job applications ₹5.67 each (Meta's count, on the campaigns that brought each in, to 4 Oct 2026). Added together they would describe neither, so keep each result in its own column.
  4. A lead isn't a buyer. Cost per qualified lead and cost per sale come from your CRM, which is the referee.
  5. Opportunity score isn't performance. Meta's opportunity score (opens in a new tab) reflects the recommendations you've applied; Meta says to "judge performance based on your business goals".

The 30-point checklist#

Note a fix beside each failed check, then fix in this order: ownership and access (1 to 5), tracking (6 to 11), follow-up (24 to 27), structure and budget, then creatives and audiences.

Frequently asked questions#

How often should you audit a Meta ads account?#

Run the full checklist when you take over an account, before a season or a big budget increase, and whenever cost per result jumps for no clear reason. In between, check the quick items monthly: deduplication and match quality, creative fatigue, waiting leads and who has access.

Can you audit your own account?#

Yes. This checklist needs only Ads Manager, Events Manager and your lead records. Meta also has two built-in checks: opportunity score in Ads Manager, which ranks its recommendations, and Meta AI, which Meta said on 19 August 2026 can work with your ad campaigns to "audit and optimize campaigns". Neither knows your margins, and only your CRM knows which leads bought.

Who should own the ad account?#

The business that pays for the ads, in its own business portfolio, with the agency or freelancer given partner access. Meta's help page says an ad account created in a business portfolio stays there permanently, so an account an agency creates in its own portfolio can't later move to yours. Keep the pixel or dataset, the Page and the Instagram account in your portfolio too.
